Don't hit send too soon! 5 email tips for businesses

Companies that spend time and money on their corporate communications usually see their efforts pay off in spades; whether it's a polished and persuasive website, or a meticulously crafted brochure, a well-written piece of marketing copy will convey the right message to your client and garner the results you expect.

Why don't we give emails the respect they deserve? Is it because we receive so many and it's simply a slog to get through them? Probably, but that shouldn't be an excuse for a poorly worded, unfocused and confusing email, especially when you're writing to your clients.

I surveyed the Front60 team for their thoughts on this all too important means of communication. If you deal with clients directly or if it's your employees who do, here are a few rules of thumb that will help to make your emails focused, easy to read, and actionable:

Why am I writing this email?
• Before you write to your client, think about just how many emails they're likely to receive in a day, because 9 times out of 10 the answer is a whole lot. Show your recipient respect and make the email worth their time; if it isn't, don't send. Every email should have a purpose, don't assume that people will read your email just because you sent it to them.

Don't bury the lead.
• It's something any good journalist can tell you. Get to the point, after you address your recipient, state why it is you are writing your email. Make sure that sentence solicits the response you're looking for.

Write a concise and descriptive subject line.
• Avoid "FYI" or "last week's meeting," instead say something like "Feedback from the XYZ Report" or "Questions RE: Phase 2 of ABC Project."

Brevity always trumps a novel.
• Don't go on tangents about unrelated matters, leave separate ideas for separate emails. Try and make sure your email relates to your subject line and write with the objective of getting the results you want.

Use proper spelling, grammar and punctuation.
• Use your email client's spell check; don't get sloppy with punctuation and grammar. Sometimes we plow through emails so quickly that we forget to read them. Read them aloud, get someone else to read them or use a text to speech program to listen to your email (this is a great tool for editing all types of written communications).

These are just a few tips that will help any organization stay focused when writing emails; although it seems like common sense, we all need a reminder once in a while.
